1. Scope
This Privacy Policy applies to bearfish.com, app.bearfish.com, and the related Bearfish software, websites, and services (collectively, the “Service”). It applies to visitors, account holders, organization members, and people whose information is submitted to the Service by a Bearfish customer.
Bearfish customers may use the Service to manage information about their own customers, prospects, vendors, and personnel. Those organizations are responsible for their own privacy practices and for providing any notices or obtaining any permissions their use of that information requires.
2. Information we collect
Information you provide
- Account information, such as your name, email address, password, phone-verification details, and authentication settings.
- Organization and billing information, such as company details, team membership, subscription plan, billing status, and transaction references.
- Workspace content, including customer and contact records, catalogs, pricing, quotes, approvals, jobs, schedules, notes, terms, uploaded files, and other content you choose to store or share through the Service.
- Integration information, including details and credentials needed to connect supplier, payment, domain, or other services at your direction.
- Communications, including support requests, feedback, and other messages you send us.
Information collected automatically
When you use the Service, we may collect technical and activity information such as IP address, browser and device type, operating system, request times, pages and features used, referring URLs, error data, and security events. We also use cookies and similar local storage needed for authentication, security, preferences, and core Service operation.
On supported devices, the Bearfish app accesses the camera or photo library only when you choose to take or attach a jobsite photo.
Information from other services
We may receive information from services you connect to Bearfish, including Stripe, supplier systems, identity and messaging providers, and APIs you authorize. The information received depends on the integration and your settings with that provider.
3. How we use information
We use information to:
- Provide, operate, maintain, and improve the Service.
- Authenticate users, manage organizations, and preserve account preferences.
- Deliver quotes, job records, files, notifications, and other features you request.
- Administer trials, subscriptions, invoices, and payment-related features.
- Connect and synchronize third-party services at your direction.
- Respond to support requests and communicate about the Service.
- Monitor reliability, prevent fraud and abuse, and protect users and the Service.
- Comply with legal obligations and enforce our agreements.
4. How we share information
We may share information in the following circumstances:
- At your direction. We share content with organization members, quote or job recipients, connected services, and other people you choose.
- With service providers. Vendors help us provide infrastructure, storage, authentication, payment processing, email and text messaging, security, diagnostics, and customer support. They may process information only to perform services for us under appropriate restrictions.
- For legal and safety reasons. We may disclose information when we reasonably believe it is required by law or necessary to protect rights, safety, users, or the integrity of the Service.
- In a business transaction. Information may be transferred as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of the business, subject to applicable law.
Customer-facing quotes and change orders may be shared through unique links. Anyone who receives a valid link may be able to view the customer-facing document and take the actions offered on that page, so you should send those links only to intended recipients and ask recipients to keep them private.
5. Stripe and payment information
Bearfish uses Stripe for Bearfish subscription billing and enables eligible organizations to connect Stripe accounts and accept payments from their customers. Payment information entered in Stripe-hosted or Stripe-provided interfaces is handled by Stripe. Bearfish receives identifiers, status, and transaction details needed to provide payment features and support.
When you provide personal information in connection with Stripe payment services, Stripe receives and processes that information under the Stripe Privacy Policy. Stripe’s own terms and privacy practices also apply to its services.
6. Customer-controlled information
When an organization submits personal information about its customers, contacts, or personnel, that organization generally decides why and how the information is used. Bearfish processes it to provide the Service on the organization’s behalf. If your information was submitted by a Bearfish customer, contact that organization first about access, correction, or deletion. We may refer your request to the organization that controls the information.
7. Data retention
We retain information for as long as reasonably necessary to provide the Service, maintain business and transaction records, resolve disputes, enforce agreements, protect the Service, and comply with legal obligations. Retention depends on the type of information and why it was collected. Information may remain for a limited period in backups after it is removed from active systems.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security. You are responsible for keeping account credentials and connected-service credentials confidential and for promptly notifying us of suspected unauthorized access.
9. Your choices and privacy rights
You can review or update certain account and organization information in the Service. Depending on where you live, you may have rights to request access, correction, deletion, restriction, portability, or other action involving your personal information. To make a request, email support@bearfish.com. We may need to verify your identity and authority before completing a request. Some information may be retained where permitted or required by law.
10. Cookies and service communications
Bearfish uses cookies and similar technologies required to keep you signed in, secure the Service, and remember settings such as your theme. Blocking these technologies may prevent parts of the Service from working. We may send essential account, security, transaction, and service messages that are not promotional and cannot be opted out of while you use the Service.
11. Children
The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information directly from children through the Service.
12. Changes to this policy
We may update this Privacy Policy as the Service or legal requirements change. We will post the updated policy here and revise the effective date. When appropriate, we may also provide notice through the Service or by email.
